Data Input:

The user can query details pertaining to receipts giving:

  • Receipt
  • Status
  • Customer
  • Date
  • All Locations

 And press <Find transaction> Button.

(*) To raise a new receipt  Press  <New Transaction> button.

Date:

The Current Date is appearing as the day the receipt is raised.

Receipt Type:  

Select “Debtor Outstanding” if there is correspondent balance amount against   receiving amount

Customer:

When “Debtor Outstanding is selected” it means that the amount received is from a debtor/customer.Therefore users have to select the customer from the List.

Sub Account:

This feature is activated only if the Customer account has sub customer accounts created below it making the Customer account the Master Account.

E.g: A Customer X has other shops in other regions under the same name and X is HQ. Customer X is created as the master customer account and the shops in the other regions will be the sub account.

Invoices will be raised to the sub account and linked to the Master which is X.

Filter Criteria:

With this feature the user can quickly filter to the prefered invoice by entering the invoice number which is to be allocated.

<Get Unsettled Button> - Users can click on this feature to view all the unsettled invoices.

Date Between:

With this users can state a date range "From" "To" where all invoices within the stated dated will be shown.

And select “General” if the receipt is not against an outstanding amount due. That  may be a miscellaneous receipt.

Received From:

In case where receipt amount is as a miscellaneous receipt and particular outstanding amount is not available, the person from whom receipt is taken is not be available in the system.

Therefore such payees name shall be manually entered here.

Cash/Cheque/Card:

Either of above (That is receipt against “Available Debtor outstanding” or “General receipt”) one or combination of this payment method can be selected by the user.                         

Account:

When user select "General" while raising a receipt, user will not be able to select a debtor account but will need to receipt against a G/L account from the Chart of Accounts.

After entering data press <Save Button>
